WWF, the global conservation organization, is seeking to recruit a Administration & Operations Manager to based in Nairobi, Kenya
Reporting to the Finance & Administration Director, WWF Eastern Southern Africa Programme, the Administration & Operations Manager, is responsible for the administration and logistical management functions of ESARPO and provides principal and central support to ESARPO country offices and the sub-regional programme office.
Specific duties include
• processing applications and renewals of residence permits and diplomatic cards for expatriate staff;
• preparation of documentation for duty and tax exemption and submission to the relevant government authorities;
• preparation of sub-regional consultancy and operational contracts;
• co-ordination and facilitation of procurement requirements;
• liaison with government authorities and NGOs and provision of logistical support in co-ordinating deliveries of programme supplies and obtaining customs clearance for imported duties;
• acts as super user in the Oracle system purchasing module creating purchase orders and attaching all supporting documentation;
• establish, maintain and update the project database for all WWF-ESARPO Projects.
The key requirements are:
• Bachelors degree in Business Administration/Social Sciences;
• At least five years in an international NGO in a similar or related job;
• Excellent administrative/managerial and time management skills;
• An outgoing personality and a self-starter;
• A sound understanding and experience of dealing with governmental offices;
• Excellent communications and interpersonal skills, with ability to work in teams in a multi-cultural environment;
• Ability to analyze, set priorities and complete tasks with minimum supervision to strict deadlines;
• Must have initiative and a flexible, friendly and co-operative personality;
• Excellent computer skills (windows environment, MS Office and ESP). Knowledge of Oracle ESP will be an advantage;
• Fluency in English and knowledge of French;
